Conference Volunteers Needed

Volunteers receive a reduced rate admission to the 2026 IMHCA Conference!

IMHCA is in need of (up to) 15 volunteers in person for the 2026 IMHCA Conference from May 6th – May 8th, 2026 at the West Des Moines Sheraton.

Applications will be reviewed through the due date of February 16th, 2026.

Wednesday, May 6th: 5pm – 9pmEvening Virtual Sessions 5:30pm – 8:45pm
Thursday, May 7th: 6am – 5:15pmSet up starts at 6am.
Sessions run from 8:15am – 4:45pm.
Clean-up will be from 4:45pm – 5:15pm
Thursday, May 7th: 4pm – 8pmSet up starts at 4pm.
Networking and Awards Ceremony is 5pm-7pm.
Clean-up will be from 7pm – 8pm.
Friday, May 8th: 7am – 5:45pmSet up starts at 7:00am.
Sessions run from 8:00am – 4:30pm.
Clean-up will be from 4:30pm – 5:45pm.

Responsibilities may include:

  • Attending a training session (or two) prior to the event to orient yourself to the assigned tasks.
  • Assistance with check-in and check-out for attendees.
  • Operating the IMHCA booth (registration) throughout the day.
  • Introduction of speakers and moderator duties (as needed) in assigned sessions.
  • General assistance for attendees, speakers, vendors, and exhibitors as needed.
  • Volunteers will need to be comfortable with Zoom and general technology. They will need to have basic troubleshooting skills for computer audio and video feeds to keep sessions running smoothly for virtual attendees.
  • Volunteers may also be assigned to support the planning committee at the Awards Ceremony.
  • CEs will be awarded for sessions you fully attend (may be limited based on responsibilities assigned).
  • Preference for volunteer selection goes to current IMHCA members and volunteers available all day May 7th and 8th. We may not need volunteers for the virtual sessions on May 6th – this is being evaluated – but you would still be able to register to attend these sessions.

  • Reduced rate for the conference ($50, but CEs may be limited based on need for volunteers outside of sessions).
  • Breakfast and Lunch provided both days.
  • Ability to attend sessions as scheduled (with some exceptions).
  • Building connections with IMHCA and other professionals across the state.

The window for accepting volunteer requests closes on February 16, 2026. Positions will be filled as determined by the conference planning committee.

Conference Volunteer

    Priority will be given to IMHCA members.
    Priority will be given to volunteers with availability for at least two or more of the selections.
    Selected volunteers will be able to attend the entire two-day conference including food and beverages during the conference and the virtual pre-conference, at a discounted rate of $50. Volunteers will be assigned tasks ranging from setting up, assisting during assigned sessions, attending the registration table during sessions, supporting exhibitors and sponsors, cleaning up, and other duties as assigned. The Conference Committee attempts to assign sessions according to volunteer preference, but this is not always possible. Volunteers will be able to attend sessions virtually when stationed at the registration table as long as supporting attendees and the Conference Committee is prioritized. Emails will be sent to volunteers once selections are made. Directions for accepting their volunteer position will be provided in the email. If a selected volunteer is unable to meet expectations for volunteering at any point, their position will be forfeited and full dues for the conference will need to be paid to attend. Any volunteers who are waitlisted will be notified as soon as possible and they will be refunded their paid registration minus $50 if they are selected to volunteer at a later date.
